Hotel Terms & Conditions
Check In and Check Out
Check in is from 3pm and check out is before 11am. Early check in or late check out may be available subject to availability. There is a £10 charge and this must be arranged with the hotel directly either by telephone or email. We reserve the right to charge the card on your booking for a £10 late check out fee if you remain in your room after the standard check out time of 11am.
Car Parking
All Roadchef sites allow a 2 hour parking period free of charge. Any parking over 2 hours at any time of the day is chargeable, with overnight parking charges ranging from £12 to £20. Hotel guests may register up to one vehicle per adult occupant for free parking during the length of your stay. It is the responsibility of the driver of the vehicle to ensure the vehicle registration number is entered accurately into the touchscreen device at Hotel Reception within 2 hours of arrival at the site. Penalty Charge Notices are issued to all vehicles not registered on the touchscreen and Roadchef takes no responsibility for the untimely or inaccurate entry of vehicle registration numbers.
Pets
We are a pet friendly hotel. There is a £10 charge per pet, per stay (up to a maximum of seven nights) which is payable on check in. For stays longer than seven nights, an additional charge of £10 per pet will be required for every seven nights within the reservation, or part thereof. Please advise the hotel directly if you are bringing any pets so we can ensure we allocate a suitable room. There is a maximum of three pets per room and the hotel reserves the right to use the security deposit, or to charge the card details held, to cover the cost of any damage to the room or any part of the hotel premises; or to cover the cost of any deep cleaning that is required due to any actions of any pets brought into the hotel.
Payment
Payment due dates will vary based on the type of reservation made. Standard bookings will be payable on arrival, whereas advanced purchase/discounted rates will be payable at the point the reservation is made. Advanced Purchase Rate is non-refundable under any circumstances. See your reservation details for further information. If payment does not reach us at the required time we reserve the right to suspend or cancel any booking made. Payment should be made in Pounds Sterling by credit or debit card. Cash, cheques and bank transfers will not be accepted.
For Advance Purchase bookings and various promotional offers, the total cost of stay is payable in full at the time of booking. Failure to provide a valid credit/debit card detail for the booking will result in an automatic cancelling of the booking. Advance Purchase Reservations are non-cancellable and non-amendable. In the event of cancellation or no-show, no refund will be given. Name on the reservation must be the same as the credit cardholder's name and the same individual must check in for the stay. The credit/debit card used to book the Advance Purchase rate must be presented at the time of check in. If you are paying for someone else, please contact our Central Reservations office prior to the arrival of the guest.
For standard or flexible bookings, we reserve the right to charge the card used to guarantee the reservation prior to arrival for circumstances including but not limited to; planned system downtime during arrival periods, ascertaining suspected fraudulent activity and ascertaining valid payment details. In these circumstances where payment is obtained prior to arrival, your cancellation and flexibility rights are not impacted and all funds will be refunded in the event of a valid cancellation.
Your Right to Cancel
The cancellation policy varies depending on the type of rate you have booked and the method of booking. Please refer to your original booking confirmation for details. Any cancellation request should be made via your original method of booking, for example through the website used to make your booking or via the phone to the hotel if you made your booking directly with the hotel.
Our Right to Cancel
We may cancel your reservation if an event outside of our control (including but not limited to industrial action, staff and/or guest health epidemic, explosion, fire, flooding, failure of power and/or water supplies or emergency evacuation) means that we are unable to make your room available to you. In this case we will contact you to let you know as soon as possible and:
- If you have already paid for your room, we will refund your payment to you.
- If you have not yet paid for your room, you will not have to make any payment to us.
Credit/Debit Card Pre-Authorisation
Upon arrival at the hotel, a pre-authorisation of a debit or credit card will be required before a reservation can be checked in. No funds will be taken from your account unless additional charges are incurred through additional cleaning, damage or theft from the hotel.
The hotel reserves the right to to charge the card details held, to cover the cost of any damage to the room or any part of the hotel premises; or to cover the cost of any deep cleaning that is required due to any actions of any occupant or guest of an occupant, including smoking. Smoking
Smoking (including the use of e-cigarettes) is not permitted in any hotel other than in the designated smoking areas outside of the hotel. You must not smoke in any of our hotel rooms or public areas or interfere with our fire detection systems. If you do so, this will be regarded as a breach of the terms and conditions of your stay. Smoking in hotel rooms or public areas will result in a £100 fine. We also reserve the right to terminate your booking and charge your payment card with: (1) the cost of specialist cleaning, (2) repair or replacement of fire detection equipment, (3) the cost of the room for any period it is unusable, and (4) our administrative expenses.
Room Keys
All room keys must be returned to us on check out. If a key is not returned, has been lost or has been damaged, we may charge you for a replacement key and/or lock as required. In the event that a key is not returned after check out we request you to contact the hotel to make arrangements for keys to be returned.
Electric Vehicle ‘Park & Charge’ Package
This package is available at selected hotels and is subject to availability. Without pre-booking, there is no guarantee of availability and remaining packages are bookable on a first come, first served basis at Check In. We may cancel your Park & Charge Package if an event outside of our control (including but not limited to failure of power supplies, technical malfunction or access restrictions) means that we are unable to make your package available to you. We make every effort to maintain the supply of charging power to your vehicle throughout your stay, but we make no guarantee as to the power delivered to your vehicle or the effectiveness of the supply. Park & Charge bays are available for the same time your bedroom is checked in to - no earlier than 3pm on day of arrival and no later than 11am on day of departure. We reserve the right to remove, relocate or tow vehicles which are left in Park & Charge bays should they not have departed by scheduled departure time. Park & Charge bays are offered without any charging cables or accessories, all of which must be supplied and certified as fit for use by the user. All Park & Charge bays are provided with a single AC connection socket and will require the guest to provide their own lead. The use of the Park & Charge Package is subject to a fair use policy, including but not limited to two different vehicles per stay. We do not accept liability of any nature for any loss, costs or damage caused by any use and/or misuse of the Park & Charge charging point, except when caused by our negligence.
Theft & Wilful Damage
The removal of any item from your hotel room without authorisation or the intentional damage to a hotel room is a breach of the terms and conditions of your stay and a criminal offence. If you remove any items from your hotel room or wilfully damage the hotel room, this will be regarded as a breach of the terms and conditions of your stay. We reserve the right to terminate your booking, contact the police and charge your payment card with: (1) the cost of replacing any removed item(s), (2) the cost of repairing the room where damaged, (3) the cost of the room for any period it is unusable, and (4) our administrative expenses. We may also instruct a third party to recover these costs on our behalf.
For Safety & Security Reasons
Guests must not:
- Bring into the hotel, or use, any electrical appliances that may set off the fire alarm system, such as toasters, rice cookers, mini cookers or portable grills.
- Tamper with or cover any fire alarms or emergency equipment.
- Cover any electrical heaters so as to create a risk of fire.
- Store items (personal or otherwise) which could cause damage to the room, or be a risk to the health and safety of our other guests, staff or property.
- Prevent us (including our maintenance and housekeeping staff) from accessing your room(s) as and when we reasonably require. We reserve the right to change your room allocation at any point during your stay for any reason.
- Remove, damage or destroy any of our property.
- Use any WiFi connection to download or access any unlawful, offensive, or obscene material.
- Cause any disturbance to our other guests or staff; or act in a manner which we determine to be indecent, lewd, harassing, threatening, abusive, inflammatory, fraudulent, illegal or otherwise objectionable.
- Smoke anywhere inside any Roadchef premises. This includes the smoking of e-cigarettes. Permitted smoking areas are identified on site. Smoking on Roadchef premises outside of the designated smoking area will result in a £100 fine and recovery of associated expenses – this includes smoking in your room.
- Bring any form of firearm, firearm components, weapons or ammunition onto any our premises, including car parks or in luggage.
- Undertake any filming or media content creation in any areas of our hotels without the prior written authorisation and consent of Roadchef and/or Wyndham Hotels & Resorts.
If you or your group cause damage or loss of any kind to the hotel or other guests or their property, you (as the person making the booking) will be responsible for that damage or loss and you shall be liable to pay to Roadchef on demand the amount required to make good or remedy such damage or loss.
If you or your group cause damage to the hotel, other guests or their property, or otherwise breach any of these terms and conditions, Roadchef reserves the right to:
- Cancel your reservation(s) with immediate effect and (if appropriate) eject you from our premises.
- Cancel key cards or change locks.
- Restrict access to the hotel and main amenity building.
- Remove your items from the room and hotel, disposing of such items (at no cost and no liability) to a local charity to the extent such items are not collected from us within 7 days of removal.
- Retain all sums paid by you and/or charge you the full amount of your reservation.
- Refuse or cancel future reservations from you; and/or refuse you entry or accommodation at any of our hotels.
Roadchef reserves the right to decline or cancel reservations made and stays in progress by those who have previously breached these terms and conditions (as may be updated from time to time), whether the reservation is in that name or not.
Roadchef will not be liable for any refund or compensation in any of the above circumstances.
